This booklet describes steps that are useful for education organizations to follow when planning for, designing, and implementing an automated student record system. Following a general discussion about student records and student record systems, the following steps to consider when developing and implementing an automated student record system are described: (1) determine the desired uses of the system; (2) identify federal, state, and local regulations affecting the maintenance of student records; (3) select the overall contents of the system; (4) select the data elements to be kept in the system; (5) select a system for assigning a unique identifier to each student; (6) determine the physical design of the system; (7) identify the format for the data within the system; (8) determine how you will enter or import data into the system; (9) determine your procedures for providing access to the system; (10) plan ways to ensure the integrity of the data in the system; (11) plan procedures for doing standard and ad hoc analysis and reporting; and (12) develop procedures for appropriate reporting of student data. Examples, case studies, and checklists are included. Several print and online resources are listed.
